Document Management Centre

Simplified Maritime Document Management for Charterers and Ship Owners & Managers

The Challenge

The Cost of Fragmented Maritime Documentation

Limited Visibility Reduces Decision Clarity Vessel documentation is often spread across emails, shared drives, and third-party systems. Without centralised visibility, decisions are frequently made using incomplete, outdated, or unverifiable information.
Manual Processes Slow Fixture Decisions Time-sensitive fixture decisions rely on fast access to accurate vessel documentation. Manual collection, verification, and follow-up processes create delays, increase workload, and slow approvals.
Fragmented Workflows Impact Collaboration Stakeholders across owners, managers, charterers, and ports often operate in disconnected systems with inconsistent documentation. This leads to rework, communication gaps, and inefficiencies.

Track Document Validity

Reduce manual follow-up and administrative burden by ensuring critical documents are available, current, and easy to manage. Proactively track document expirations and renewals to support uninterrupted operations and more efficient compliance oversight.

dmc3

Secure Document Control

With enhanced data privacy and access controls, all documents are securely stored and easily accessible when needed. This ensures sensitive vessel information is protected while remaining readily available to authorised users throughout the vetting process.

dmc4

Improve Collaboration and Transparency

Share access to critical vessel documents, with full visibility provided through audit trails and update tracking across stakeholders. Documents can also be shared internally to support your organisation’s approval and workflow processes.

The Challenge

The Cost of Fragmented Maritime Documentation

Documents Scattered Across Multiple Systems Sourcing vessel records across multiple disconnected systems creates slow, inefficient workflows and prevents teams from having a clear, consistent view of fleet documentation.
Ongoing Risks Due to Version Control The lack of a centralised ship documentation system could result in charterers and stakeholders unknowingly making decisions based on incomplete or out-of-date information.
Lack of Protection for Sensitive Data Generic file-sharing tools may not provide the security, traceability, and permission management required for effective compliance management in fleet documentation.

The Maritime Industry, in Their Own Words

"The RightShip Platform helps us to choose better vessels for our charterer team, improving our shore-based management, by letting us know quickly when issues with a vessel have been resolved. “The RightShip platform and support team have been invaluable to us as ship managers in improving our safety, compliance, and operational standards. The inspection process, vetting requirements, and follow-up guidance are practical and constructive — helping us identify gaps, strengthen our Safety Management System, improve PSC readiness, and build a stronger safety culture both onboard and ashore."

Indochina Petroleum Transportation Jsc

“RightShip has supported us to vet various LNG carriers calling at our floating storage and regasification unit (FSRU) terminals, screening the various incident databases, Port State Control (PSC) deficiencies, and detentions, as well as the flag and class status of vessels.  This all serves to provide us with a more holistic risk picture, which helps us greatly in our screening process. The platform is very user friendly, intuitive and I particularly like the Safety Score feature."

Frequently Asked Questions

What types of vessels and documentation does the Document Management Centre support?

The Document Management Centre is designed to support the full range of vessel safety and compliance documentation relevant to vetting and nomination decisions.

Documents that teams can store and submit on the platform include Class Status Reports, Port State Control, mooring details, GA plans, audits, emergency response procedures, and more.

The platform also caters to a wide variety of vessels, ranging from container ships and bulk carriers to tankers and specialised vessels. Do contact our team for more specific information relevant to your fleet type.

Will more document types be added in future? Absolutely. Through ongoing collaboration with Charterers, Terminals, and other industry stakeholders, RightShip is expanding the range of document requirements. Soon, more tailored sets will follow, creating a fully optimised and streamlined approach to document management across the maritime industry.
How does the Document Management Centre differ from a standard cloud storage solution?

Unlike generic file storage, the Document Management Centre is a purpose-built and future-focused ship documentation software for the maritime sector. It integrates with the RightShip Platform, supports standardised vetting requirements, and includes access controls specifically designed for the security and workflow needs of the maritime sector.

How are document access requests approved or denied on the platform?

Document Providers (e.g. ship managers) will receive notifications for access requests from Customers (e.g., charterers) and can approve or deny them accordingly. Approved requests make the document available to the requesting Customer, and they will be notified via email. If denied, the requester is also informed via email. This process ensures the security of a fleet’s confidential information.

As a Customer, how can I contact a vessel’s document submitter if I have a question?

The Document Management Centre includes an integrated Message Centre, allowing you to communicate directly with the document submitter. To ask a question, click on the "Inquire About Document" feature within the Document Management Centre. This opens a dialogue box where you can select the specific document(s) in question and type your inquiries.

The document submitter will receive an email notification with your questions. They can respond to your questions directly within the platform, ensuring seamless communication and a prompt resolution.
