What is the Core Logic of Due Diligence?

Due Diligence operates on a set of flexible, customer-defined rules and criteria, with automation as the default. This means that statuses transition generally happens automatically, except in specific cases that require manual intervention:

  1. Require RightShip Intervention (should it be RightShip Managed) or Require Intervention (should it be Client Managed): Triggered automatically if the Due Diligence Outcome’s required timeframe has elapsed. After this, further actions require manual intervention.

  2. Senior Approval: Requires manual action if triggered, as this transition calls for senior-level oversight.

How to Request Due Diligence?

To initiate a Due Diligence request:

  1. Navigate to the vessel of interest.

  2. If you have the appropriate permissions, a Due Diligence widget will appear under the vessel header.

    When no previous Due Diligence has been requested for the vessel:


    When a previous Due Diligence request exists for the same vessel:

    Note: Due Diligence relies on a predefined set of rules, which must be configured by RightShip before a request can be triggered.

How to View Triggered Due Diligence?

All triggered Due Diligence requests, provided you have the necessary permissions, can be accessed:

  1. In the Due Diligence tab within the Tasks section.

     

  2. In the Activities tab of the respective vessel.


Where Can I View the Data Entered in the Due Diligence Request?

To view the input data for a Due Diligence request, click the (i) icon next to the Due Diligence ID in the top-left corner of the header. This section also provides additional basic information about the vessel.


How Can I Manually Intervene in a Due Diligence?

To manually intervene in a Due Diligence:

  1. Click the Review button. This action takes ownership of the Due Diligence, allowing you to make manual updates or decisions as needed.


  2. Once clicked, the status changes to Under Review, indicating to others that the Due Diligence is actively being handled. This ensures visibility for collaborators and signals that you are managing the Due Diligence.

  3. The Review button will change to an Update Status button, enabling you to manually change the status to your preferred state.


    How Do I Escalate Due Diligence for Senior Approval?

    To escalate for Senior Approval:

  1. Click the Require Senior Approval button.

  2. A dialogue box will appear, allowing you to add a message and status snippet.

    -The Message will be sent to the assigned Senior Approver via email.

    -The Status Snippet will display in the Due Diligence Overview page.

     

  3. Clicking the Save button changes the status to Pending Senior Approval.

Note: Senior Approval requires prior setup under Settings > Due Diligence Configuration, where you can designate approvers within your company.


This feature is intended for customer-assigned Senior Approvers and does not apply to RightShip users. If the configuration is not preset, attempting to use Senior Approval will prompt you to complete the required setup.


What is the Role of Collaborators?

Collaborators are users within the same customer business unit from which Due Diligence is initiated, including RightShip for potential data processing needs. Customers can add additional users as collaborators:

  • Before Submitting Due Diligence: Use the Due Diligence Request page.




  • After Submission: Use the Manage Collaborators option on the Due Diligence Overview page.


    Collaborators have full access to the Due Diligence, including the ability to take ownership and escalate for Senior Approval.

    Note: We are revising the collaborator view, hence access might eventually be limited to only a few features.

    What is the Logic Behind the Compliance Check on the Due Diligence Request Page?

    The Compliance Check is a notification sent to a designated customer email to initiate their compliance review process. This feature helps streamline coordination between Safety and Operations checks and Compliance checks.                                                      The Compliance Check email can be configured once in Settings > Due Diligence Configuration under the Compliance Check section.



  • The designated email/s will then automatically populate in the Due Diligence request page. When submitting a Due Diligence request, you can simply opt-in to trigger this compliance notification, alternatively you can manually add the designated email/s.


    How Can I Link a Message to the Due Diligence Outcome?

    To link a message to the Due Diligence outcome:

    1. In the Message Center, send a message and set it to Awaiting Response.

       

    2. This action will create a task in the Required Actions, ensuring responses to this message thread bring Due Diligence back to your attention through a change in status.

    Once the necessary information is received, you can mark the thread as Complete. This completes the task and triggers an automatic recheck of the rules.

 

How Are Message Center Threads Managed?

In the Message Center, multiple threads can be created, each with specific email access settings. Users can only view threads if their login email domain matches those included in the thread’s settings. Any threads where the email domain does not match will remain hidden.
